JOB DESCRIPTION
A) DESCRIPTION OF THE SERVICE:
The SERVICE consists of carrying out general administration (e.g. input and check timesheets, organise meetings, organise team logistics)

B) SPECIFIC ACTIVITIES:
• Operate filing system to ensure that all paperwork is properly maintained. Maintain Prodom Database for correspondence
• Document production, archiving and control (e.g. assigns codes/numbers to documents)
• Generate standard reports from systems.
• Provide first point of contact internally and for outside callers to the Project team
• Type and write up paper work associated with supporting COMPANY
• Requisition standard goods/stationery for COMPANY
• Ensure good coordination and communication with project and COMPANY
• Prepare mission order and assist COMPANY in travel logistic
• Participate to the welcome and integration of newcomers
• Keep updated the POB in the office.

JOB REQUIREMENTS
The execution of the SERVICE requires experienced specialists fluent in English

Job Title: Document Control Coordinator

About The Job
(1) Assists Project team members in retrieving drawings and all technical data related to Upstream Nigeria’s project. Enters and updates technical and non-technical data into the EDMS, Hard Copy Documentation Centres, Master Database Index, Intranet and the
Retention Centre.
(2) Support the UN Projects Management by providing Information Management controls on all transmitted and distributed technical data and responsible for inputting and managing Documents into the EDMS database.
(3) Generate all Information Technical reports and carry out all scanning of documents and index the data into UN’s EDMS Database.
(4) Other Duties include preparation of on-going weekly reports, prepare pre-drafts of Information Process Workflows, minutes of meetings and interface with customers to address issues, clarifications and deliver the products in a timely fashion.

Job Responsibilities
(1) Assists in retrieving drawings and documents (electronic and hardcopy versions).
(2) Verifies document numbering complies with project document numbering
specification.
(3) Assists in locating/searching for documents/drawings. Follows the appropriate processes to determine the required drawings and/or documents to fulfil a client’s need and also follow steps to locate/acquire the information.
(4) Adding revised or new drawings and documents to the various Upstream Nigeria’s document storage locations. Assist in full cataloging of all new drawings and/or documents.
(5) Acts as the primary interface for the transmission of documents between the project team and contractor.
(6) Responsible for the safe, reliable and accurate managing of all the Upstream Nigeria’s Project Information.

Work Contact
Regular contacts with Engineering and Operations in the process of providing system application support.

Supervisory Responsibility
Operates in accordance with established procedures and technical documentation standards and practices.

Physical Requirement
Work is generally sedentary, with some standing, stooping and lifting of records and boxes up to 13.6Kg (30 pounds).

Job Requirements
(1) HND or BSc in related discipline preferred.
(2) Experience in Information Management Processes and Procedures.
(3) Basic understanding of Document Management Processes.
(4) Good working skills with Microsoft office applications.
(5) Good Organizational Skills.
(6) Excellent communicating skills in English.
(7) Team player.
(8) This position is opened to Nigerians only.
